Using Proactive AI to Grow Your Cleaning Business
Episode 135
This is how I finally got my answer about how AI could grow my cleaning business. I remember the conversation clearly. When Ray brought up AI I asked, “How is AI going to help me clean a toilet?” I was tired, skeptical and angry. With 45 years in the cleaning industry, I’ve seen what customers complain about. Often they’re right. I’ve seen what cleaning company owners complain about and they’re often right, too. On the service and consulting sides, I’ve built my business on perseverance, honest relationships, and hard work. I coach cleaning company owners to press in and understand what their clients really need. And after all of that, we have the emergence of AI. To be blunt, I was pissed.
I was wrong about AI
I’ve weathered a lot of new technologies on the commercial cleaning business. AI felt like it was trying to replace the human touch. To be clear, technical understanding and accuracy ARE important in the cleaning business. But the thought of replacing people with AI was the very thing that troubled me the most. I believe most people (including your clients) want contact with their vendors to be genuine and professional. My negative opinion about AI wasn’t unfounded, it was misdirected.
So, I swallowed my pride and chose to meet Andrew Kidd from Betterflow AI. Together, we did the thing that I want and what I believe most of you want. I connected with the vision of a fellow-owner. At that point, something clicked and this is what I realized: AI isn’t here to replace the personal care we bring to cleaning. It’s here to protect it.
The Real Problem in Our Industry
For decades, and maybe forever, commercial cleaning companies have been reactive. A client calls at 6 AM furious because nobody showed up last night, or they found one dirty trash can. A detail was missed. Because that frustration reinforces their opinion of cleaners, they assume everything about their cleaning service was neglected. I’ve joked that nobody calls to praise the knot you tied on the bag in that trash can. After 45 years, I’ve never received a call to say “Thanks for ensuring the regular cleaning was done last night”. But complaints? Those flood in instantly.
The issue isn’t that we’re not good at our jobs. The challenge continues to be that we have no proof of how good we are.
Transparency Through Technology
The AI platform we’ve developed and I now use doesn’t eliminate management or replace your team. It’s a checklist system using our own SOPs that keeps your people accountable and your clients confident. Here’s how it works:
- Employees clock in through geofenced tracking.
- Managers get instant notifications if someone’s late.
- Critical tasks require live-action photos and videos with time and date stamps.
- If a client says they found a shredder overflowing at a specific location you can pull up proof that it was dumped with a time-stamp and date-stamp. Your employee isn’t just claiming to have done the work. The work is documented.
The pushback was real at first. But once MY team saw that this protected them, the attitudes changed. They could prove their work ethic to demanding clients. Now they see it for what it is: a shield against accusations and a tool for building trust.
The Real Magic: Growing Your Cleaning Business with AI
Here’s where it gets exciting. By reviewing the photo record from every site every night, you can see things your crew might miss reporting: worn carpets, traffic patterns on floors, maintenance issues. This isn’t your team failing. It’s you being proactive and communicating your value.
You notify the client: “I noticed your main walkways are showing wear patterns. Would you like us to refinish the floors?” You’ve just found an upsell! One or two of these add-on jobs per month pays for the entire platform. The best way to grow your cleaning business isn’t fighting over contracts, it’s deepening relationships. Your existing clients want genuine, proactive care and this platform will help you accomplish that!
The Personal Touch Remains
This is the part that mattered to me most. Out AI platform doesn’t make cleaning impersonal. It makes it provable. When you tell a client you’re looking out for their entire building, not just the cleaning, you mean it. When you catch maintenance issues and alert them before they become problems, that’s not AI being cold and corporate. That’s you doing your job with precision and care.
For 45 years, I’ve believed that cleaning is about relationships. That hasn’t changed. Now we just have a way to prove that we’re worthy of those relationships.
